Position Summary

The Office Manager is a central member of the yáqʷa Development Corporation team, responsible for ensuring effective internal operations while supporting human resources, executive coordination and communications.

This position plays a vital role in maintaining strong connections between the organization, Haisla Nation, community members, and external partners.

Key Responsibilities

Communications

  • Collaborate with communications personnel to develop and implement consistent processes for distributing newsletters, announcements, and social media updates across all yáqʷa entities.
  • Identify internal and external communication needs and opportunities to enhance engagement.
  • Support community engagement strategies that strengthen relationships with stakeholders and Haisla Nation.
  • Act as a liaison between yáqʷa and the community to foster transparency, trust, and collaboration.
  • Ensure that all communications align with yáqʷa’s branding, cultural values, and outreach objectives.

Administrative Support

  • Oversee daily office operations to ensure smooth, efficient functioning of internal systems and processes.
  • Serve as a key point of contact between yáqʷa, Haisla Nation, and the yáqʷa Board of Directors.
  • Assist the CEO with organizing and coordinating board meetings, strategic planning sessions, and internal reports.
  • Provide support in managing organizational budgets, team coordination, and administrative workflows.

Human Resources Support

  • Assist with recruitment activities and coordinate onboarding for new employees.
  • Maintain accurate, confidential employee records and assist with policy implementation.
  • Support the coordination of staff training and ongoing professional development.
  • Ensure compliance with organizational HR procedures and BC employment legislation.

Skills & Qualifications

  • Post-secondary education in Business Administration, Communications, or a related field is preferred or a combination or education and work experience.
  • Two to five years of experience in a similar senior administrative, corporate operations, or office management role.
  • Experience in a start-up environment.
  • Strong verbal and written communication skills with the ability to engage diverse audiences.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams) and document management systems.
  • Demonstrated experience coordinating events, meetings, and internal communications.
  • Excellent organizational skills and the ability to manage multiple priorities simultaneously.
  • Ability to build and maintain strong, respectful relationships with internal and external stakeholders.
  • Knowledge of Indigenous governance, economic development, and experience working with First Nations communities is considered a significant asset.

Working Conditions

  • This is a full-time, on-site position based in Kitimat, BC.  Please note that no relocation will be provided.
  • Occasional unsocial hours may be required to support specific business needs such as events or board activities.
  • Some local travel and attendance at community engagement activities may be expected.
